# Kotana — full reference The software that runs live music. Booking, contracts, production, ticketing, show day, settlement. One tool, one base. Enter it once, everything else follows. Private beta, autumn 2026. https://kotana.live ## The problem One show. Eight tools. None of them talking. The contact is in the CRM, the hold in a spreadsheet, the contract in an email, ticketing somewhere else, accounting somewhere else again. And every Monday, someone glues the pieces back together. ## The answer One base. Entered once. Used everywhere. Sales, production, finance, ticketing and audience read the same data. ## How a show runs through Kotana ### Concert One promoter, one artist, one date: La Cigale × Naïa. Here is how a concert moves through Kotana, from the first email to the last transfer. #### Act 1 — An email becomes a hold. A hold becomes a contract. You find La Cigale in the directory, place a hold from the CRM, and the venue answers in the same thread. The day they confirm, the contract, quote and deposit invoice are already filled with the parties, the date and the fee. You proofread, you sign, you go. #### Act 2 — The confirmed date becomes a production plan. Stage manager, freelance techs, driver: each one is suggested from real availability. The rider and the venue tech pack are already there. The day sheet generates itself, lands on everyone’s phone, and warns you if two people are expected in the same place at the same time. #### Act 3 — The room fills up. Fans pay the right price. On sale at 10 am with a virtual queue: no crashing page, no bots. Numbered seating on the 3D map, price tiers, label guest list. Tickets that change hands go through your official resale, at the price you set. Every ticket is verifiable, revocable and scannable offline. #### Act 4 — Doors open. Everyone sees the same thing. Four scanners keep working when the network drops. Press and guest accreditations sit on the same screen as tickets. The bar runs cashless, the control room watches attendance live, and you follow the night from the back of the room without calling anyone. #### Act 5 — The settlement does itself. So does the rebooking. Ticket revenue, fee, expenses and payouts reconcile against the budget while you pack the truck. The margin is there by morning, settlements checked, accounting export ready. The 1,388 attendees become the audience for the next date. ### Venue One venue, one season, one programme: the Main Hall hosts Naïa. Here is how a date in your season moves through Kotana, from the promoter’s request to the box-office statement. #### Act 1 — A request becomes a hold in your calendar. Then a rental contract. Naïa’s promoter asks for November 28. You see at a glance whether the Main Hall, stage and dressing rooms are free. The hold blocks the date; confirmation generates the contract and attaches your tech pack. Nobody retypes anything, on your side or theirs. #### Act 2 — A programmed date becomes a crew and spaces schedule. Stage, dressing rooms, bar, front of house, box office: every space gets its slot. Freelance techs, ushers and volunteers are assigned from availability, hours tracked for payroll. The welcome sheet goes to the promoter before they ask for it. #### Act 3 — Your ticketing, your members, your audience. Box office and online, memberships and season passes, numbered seating on your own seat map. The promoter manages their guest list without calling you. Official resale keeps tickets in your circuit. And audience data stays yours, season after season. #### Act 4 — The venue opens. FOH, bar and control room see the same thing. The box office sells the last seats while scanners check tickets. The promoter’s accreditations are already in the app. Bars run cashless, attendance and incidents come in live. The director follows the night from their phone. #### Act 5 — The box-office statement goes to the promoter. The season goes on. Box-office statement, settlement, freelancer hours and accounting exports generate from the date, reconciled with the till. The attendance report feeds the season review and informs the next programme. ### Tour One agent, 14 cities, one project: the Naïa 2026 tour. Here is how a tour moves through Kotana, from routing to the overall settlement. #### Act 1 — Fourteen venues to book. One project, fourteen dates. The booking request sends your availability to forty venues from the directory at once. Replies land in the routing, city by city. Every hold, confirmation and contract lives in its date; the tour aggregates fees, terms and miles. Nothing is retyped from Bordeaux to Lille. #### Act 2 — The tour becomes a day sheet per city. Routes, hotels, crew, gear in the truck, riders and tech packs for each venue: advancing happens date by date, in the same project. The tour manager sees all fourteen nights, each tech sees their day on mobile, even with no signal on the motorway. #### Act 3 — Fourteen on-sales, one view. Each venue sells with its ticketing or yours: Kotana consolidates sales per city in real time, compares capacities, spots the date that lags and tells you where to put the promo. Official resale covers the whole tour, at the price you decide. #### Act 4 — Every night, the same control room. Whatever the city. Access control, accreditations, artist guest list and cashless merch work the same way in all fourteen venues. The tour manager sees attendance and incidents, production has the night’s numbers before the truck is reloaded. #### Act 5 — A margin per date. A margin for the tour. Then the next one. Settlements with each venue, fees, transport and hotels reconcile against the tour budget. Margin reads per city and overall, accounting exports go out in one click. The audience of fourteen cities becomes the audience of the 2027 tour. ### Festival Three days, four stages, 40,000 festival-goers: Horizon Festival. Here is how an edition moves through Kotana, from the first headliner to the edition report. #### Act 1 — Forty artists, four stages, one negotiating table. Headliners take months, discoveries close in a week. Every offer, hold and contract lives in its time slot; the grid fills in live. When an agent confirms, the contract and deposit go out with the right terms, fee and stage. #### Act 2 — An empty field becomes a three-day city. Stages, dressing rooms, camping, parking, technical zones: every space has its schedule. 600 volunteers, 80 freelancers and 30 suppliers get their day sheet on mobile. Changeovers are timed to the minute, and if a soundcheck runs over, everyone knows. #### Act 3 — 3-day pass, day pass, camping: one ticketing that holds the load. Line-up announced at 6 pm, 60,000 people in the virtual queue: it holds. Early-bird tiers, day passes, camping and shuttles in one basket. Official resale absorbs drop-outs at the capped price, and tickets stay valid offline in the middle of a field. #### Act 4 — Three days, 40,000 wristbands, one control room that sees everything. Access control at gates and between zones, rechargeable cashless wristbands, artist, press and supplier accreditations. Attendance per zone, bar queues and incidents reach the security HQ live. With no signal, terminals keep going. #### Act 5 — The edition report on Monday morning. The next one from Tuesday. Ticketing and cashless revenue, fees, suppliers, grants and bars reconcile against the edition budget. Cashless balances refund automatically. The 40,000 festival-goers become a segmented audience for the next line-up announcement. ## What no one else does ### live What changes a promoter’s night. Six things you can’t do today without three tools and a spreadsheet. - **Contract and deposit generated from the deal** — Parties, date, fee and terms flow from the hold to the contract, then to the deposit invoice. E-signature included. Zero retyping. - **Official resale at the price you set** — A fan who can’t make it resells inside your circuit, at the cap you decide. The old ticket dies, the new one is named, you see everything. - **A virtual queue that holds the load** — On sale at 10 am, 60,000 people: the queue absorbs, filters bots and keeps the place of those who waited. - **Tamper-proof tickets, even offline** — Every ticket is signed, verifiable and revocable. Scanners work with no network and resync on their own. - **The show settlement while you pack up** — Revenue, fee, expenses and payouts reconcile against the budget live. The margin is there by morning, so is the accounting export. - **Kora drafts, you sign** — Contract draft, day sheet, hold follow-up: Kora prepares from your data. Anything binding waits for your click. ### venue What changes a venue’s season. Six things built for a venue that hosts, programmes and reports. - **Programming and space availability** — Main hall, stage, dressing rooms, bar: every space has its calendar. A promoter’s request becomes a hold in one click. - **Rental contract generated from the request** — Confirmation creates the contract, attaches your tech pack and sends it for e-signature. The promoter retypes nothing either. - **Your seat map, shared by everyone** — One 2D/3D and 360° map used by online ticketing, the box office and access control on the night. No more ghost seats. - **Memberships and season passes, data stays yours** — Members, passes, promoter guest lists: the audience stays in your base, season after season, ready for the next programme. - **Automatic box-office statement and settlement** — Sales reconciled with the till, statement generated from the date, settlement ready for the promoter the next day. - **Crew, freelancers and payroll hours** — Techs, ushers and volunteers assigned from availability, hours clocked and exported for payroll. ### tour What changes a 14-city tour. Six things built for an agent running fourteen nights in one project. - **Booking request to forty venues at once** — Your availability goes to the directory’s venues; replies land in the routing, city by city. - **Routing with gap and overlap detection** — Kotana spots the three empty days between two cities and suggests available venues on the way. - **Sales consolidated across the tour** — Each venue sells with its ticketing or yours: capacities compared live, lagging date spotted, promo aimed at the right place. - **Day sheet per city, available offline** — Route, hotel, times, venue tech pack: each tech sees their day on mobile, even with no signal on the motorway. - **Merch and cashless in all fourteen venues** — Stock tracked city to city, identical checkout everywhere, restock suggested before you run out. - **A margin per date, a margin for the tour** — Settlements, fees, transport and hotels reconciled against the tour budget. Read per city and overall. ### festival What changes a festival edition. Six things built for three days, four stages and 40,000 festival-goers. - **Multi-stage programming grid** — Offers, holds and contracts live in their time slot. The grid fills live, changeovers are timed to the minute. - **A queue that holds 100,000 people** — Line-up announcement, rush on passes: the virtual queue absorbs, filters bots and keeps arrival order. - **Cashless wristbands refunded automatically** — Balances and deposits returned at D+1 with no action needed, history visible to the festival-goer. Bars work without network. - **Access control per zone, offline** — Gates, camping, VIP and backstage: scanners work with no network and report attendance per zone to security HQ. - **700 day sheets in one click** — Volunteers, freelancers and suppliers get their day on mobile. A schedule change propagates instantly. - **Passes, camping and shuttles in one basket** — Early-bird tiers, day passes, camping, transport: one payment, and 40,000 festival-goers segmented for the next edition. ## Team chat Your teams already talk. Now, next to the data. A channel per organisation, per project, per date. Threads attached to a contract, an invoice or a day sheet. Audio and video calls without leaving the page. The conversation lives where the work happens. - **Channels per organisation, project and date** — A new date creates its channel, its team, its guests. The conversation follows the project. - **Threads attached to objects** — One thread on the contract, one on the invoice, one on the day sheet. Context is right there, not in a search box. - **External guests, no lifetime account** — Venue, supplier, artist: invited to one channel, with an expiry date and nothing else to see. - **Audio and video calls** — Production meeting in one click from the channel, screen share, notes attached to the project. - **Kora summarises** — Away three days? Kora summarises the channel, pulls out decisions, creates tasks. You confirm. - **One inbox** — Mentions, deadlines, incidents, approvals: one inbox, one digest, one snooze button. ## Full module catalogue ### Prospect & book - **Collaborative CRM** — Contacts, organisations, interactions, tasks, email sync - **Opportunities & pipeline** — From prospecting to confirmation, shared with the team - **Directory of thousands of venues** — Venues, festivals, promoters: org charts, capacities, programming - **Booking request & tours** — Your availability offered in bulk, every date tracked - **Artist roster & EPK** — Availability, indicative fees, shareable assets - **Targeted email campaigns** — Templates, statistics, tracked links, promo codes ### Contract & administer - **Quotes, pre-contracts & contracts** — Merge-field templates, versions, approvals - **E-signature** — Terms frozen and linked to the generated contract - **Invoicing & deposits** — Invoices from the contract, reminders, numbering per entity - **Budgets forecast / actual / committed** — Per project, per tour, aggregated for the organisation - **Expenses & receipts** — Capture, category, approval, reimbursement - **Accounting exports** — Sales journal, e-invoicing via certified platform ### Produce & staff - **Day sheets & welcome sheets** — Generated from the date, versioned, on mobile - **Spaces & stages schedule** — Running order, changeovers, dressing rooms, drag and drop - **Staff: permanent, freelance, volunteers** — Shifts, availability, hours, payroll export - **Tasks & shared calendars** — Workflows, dependencies, approvals, synced calendars - **Central equipment** — Inventory, bookings per project, loans and rentals - **Vendors & exhibitors** — Quotes, documents, pitches, power hook-ups, deposits ### Sell - **Online ticketing & registration** — Prices, quotas, forms, mini-site, memberships, recurrence - **Box office** — Till, thermal printer, live cash status - **Reserved seating 2D / 3D & 360°** (roadmap) — Your map, your zones, a price per seat - **Virtual queue** — Peaks absorbed, anti-bot, arrival order respected - **Official resale** — Capped price, old ticket revoked, new ticket issued - **Guests & sponsors** — Quotas, self-service portal, CSV import ### Run show day - **Mobile & offline access control** — iOS / Android app, pro scanners, turnstiles, rules per zone - **Accreditations & badges** — Forms per population, live rights, QR badges - **Site map & security** — Zones, barriers, routes, posts, crowd flow - **Incidents & operations log** — Severity, evidence, post-mortem reused in templates - **Hospitality & guest list** — Riders, dressing rooms, meals, invitations synced with ticketing - **Cashless** (roadmap) — Wristbands, bars, automatic balance refunds ### Measure, close & repeat - **Live statistics** — Sales per channel, attendance per zone, GA4 and pixels - **Settlements & payouts** — Statements, splits, payouts every two weeks - **Audience & segments** — Consented profiles, attendance, no-shows, campaigns - **Rebooking** — Report, margin and potential become the next opportunity - **API, webhooks & integrations** — OpenAPI, Zapier, calendars, distributors, accounting - **Kora, the AI** — Summarises, drafts, prepares; confirms before any external impact ## Pricing No twenty-line grid. Undoable. - **L3 Agent** — chains tools with a visible plan and a confirmation for any external impact. ## What people say about the tools they use today Quotes reproduced word for word from public review pages — Trustpilot for consumer-facing platforms, Capterra for professional software — retrieved 8 September 2026. Most of the scans showed a message that the ticket was already scanned. I think it is because the scan is too fast and the app scans twice" — https://www.capterra.com/p/162481/Weezevent/reviews/ - Qonto (4.7/5 over 59025 reviews), 1★, 2026-09, "Compte professionnel suspendu depuis un mois, sans décision. — https://fr.trustpilot.com/reviews/6a9abaf7b8b3fa6039201ca7 - Cegid (2.6/5 over 372 reviews), 1★, 2026-01, "Le support client est catastrophique.
